Hire Terms & Conditions

Booking Procedure

Complete and return the enclosed booking form, together with the deposit and photocopies of the driving licences of all persons who will be driving the vehicle. We will need to see the driving licence card on collection, and please provide a code for us to view the DVLA website for licence details for every driver. Confirmation of your booking, subject to availability, will be posted to you.

A non-refundable booking deposit of £100 per week is payable at the time of making a reservation and will be deducted from the total hire charge.

Payment for the remaining balance of the hire charge and security deposit will become due not less than six weeks before the date of hire, an invoice will be sent to you when payment is due. If the balance is not paid when due, West Country Motorhomes Ltd reserves the right to cancel the booking.



Drivers must be over 25 years and under 75 years of age and have held a full Driving Licence for at least one year. The licence must be unendorsed (except for speeding and parking offences) and be produced at the time of collection of the vehicle. Proof of identity must be produced at the beginning of the hire.


Collection and Return

Vehicles are available for collection on Fridays from 3:00pm onwards and must be returned by 10:00am on Fridays.


Minimum Hire Period

2 weeks for UK and Continental use.


Continental Use

It is the hirer's responsibility to arrange for all drivers to have the correct International Driving Permit where required. Please note that more than one permit may be needed depending on the countries visited.

Our insurance will only cover 30 consecutive days continental travel, we are therefore unable to accomodate periods longer than this.

A "Green Card" is required and will be issued by our insurer. You must inform us of all countries you will visit., together with the dates, at least 4 weeks before departure to ensure this.

We regret we will not release your motorhome if we do not have the above information as your insurance may be invalidated.



The following charges will apply if a reservation is cancelled:


Cancellation 6 weeks or more before the start of hire: Loss of deposit.

Cancellation between 6 and 4 weeks before start of hire: 20% of hire charge.

Cancellation between 4 and 2 weeks before start of hire: 30% of hire charge.

Cancellation less than 2 weeks before start of hire: 50% of hire charge

No-shows: no refund except on similar basis to Late Arrivals (see below). Insurance cover is advised to safeguard against this possibility.


Late Arrivals

If a hirer fails to arrive during the opening hours on the start of the hire day, West Country Motorhomes Ltd reserves the right to re-let the allocated vehicle and admits no liability in respect of inconvenience to, or cancellation charges for other pre-booked expenditure by the hirer. Any refund to the hirer resulting from the re-letting of the allocated vehicle will be limited to days during the booked hire period when no similar vehicle is available after subsequent arrival of the hirer. West Country Motorhomes Ltd will not reimburse days missed before arrival, nor allow extra free days to be added on to the hire except as quid pro quo for any days refundable in accordance with this clause.


Late Returns

Failure to return on time will incur a penalty charge of £150 per day or part thereof. Failure to return during opening hours on the last day of hire means the vehicle is not insured and therefore drivers are liable to criminal prosecution.



If due to circumstances beyond our control the vehicle reserved is not available we reserve the right to offer a suitable alternative. 


Cancellation by West Country Motorhomes Ltd

West Country Motorhomes Ltd may cancel the hire if at the time of collection the nominated drivers' Licences are invalid or not in accordance with the terms and conditions. Provisional Driving Licences are not acceptable. In these circumstances all monies paid by the hirer (except the refundable security deposit) will be forfeited to West Country Motorhomes Ltd.


Security Deposit / Refund

A Security desposit of £1000 will be charged on your invoice.

Deposits are refunded in full provided that the vehicle is returned clean, undamaged and on time. Un-emptied toilets will be charged at £50 for emptying and cleaning. Refunds are paid after cleaning and inspection of the returned vehicle but within 10 days of termination of the hire.


Fuel, Oil

These items are at customers’ expense. Fuel policy is "empty out, empty in".



Comprehensive insurance is included in the hire charge, but you are liable for damage attributable to you up to £1,000 and a deposit of £1,000 to cover the insurance excess is payable with the final balance. Hirers are advised to arrange their own personal effects and travel insurance. The vehicle is only insured for the hire period and therefore the driving of the vehicle after the expiry of the contract period may result in the driver committing a traffic offense. Furthermore the hirer is entirely responsible for any accidental damage, injury and consequential loss after the expiry of the hire period.



In the event of a breakdown or accident, recovery services are at the disposal of the hirer. Instructions for replacements, at a cost not exceeding £50 may be given by the hirer, who will be reimbursed on the production of receipted invoices. Company approval must be obtained in respect of repairs/replacemnts in excess of £50. West Country Motorhomes Ltd is not responsible for hotel or any other consequential expenses subsequent to a breakdown, but will refund the hire charges for any complete days loss of use of the vehicle. Every effort is made to ensure that the vehicle is in a safe and roadworthy condition before it leaves our company premises, but West Country Motorhomes Ltd. shall be under no liability for third party claims or damages in connection with, or subsequent upon, any accident or breakdown. In the event of an accident involving the vehicle a completed Accident Report Form must be handed to West Country Motorhomes Ltd at the termination of hire.



All motorhomes are supplied with cooking utensils, crockery and cutlery, gas bottles and toilet chemicals, no bedding, towels or any other linen is supplied. A full inventory is available on request.



You may leave your car in our secure compound while you are away. All vehicles however are left entirely at your own risk and we accept no responsibility for any loss or damage which may arise.


Hire Then Buy

If, within twelve months of hire you decide to purchase a new or used motorhome from West Country Motorhomes Ltd, we will refund the cost of the hire (up to a maximum of two weeks hire), excluding VAT.

N.B. The refund of hire charges against the purchase of a motorhome cannot be used in conjunction with any other offer.



We do have one motorhome allocated that we allow pets in, pets are not allowed in any motorhome other than the one allocated. There is an additional charge for taking a pet (see below).

If you intend to take your pet abroad please ensure all appropriate legislation is adhered to.


Additional Costs

Pets: £50 1st week, £25 per week thereafter

Bike Rack: £35 per week

European Travel Pack: £95 per week for the first 2 weeks, £70 per week thereafter

European Travel Pack includes headlamp adjusters, reflective safety vests, warning triangles, first aid kit, tool kit and breakdown assistance contact numbers (Legal requirement for European travel).



3 weeks: 5%

4 weeks: 7.5%

5 weeks: 10%

6 weeks and over by arrangement

As we operate a mixed selection of hire motorhomes, specifications and designs may vary and the features and layouts on this website are given only as an example.

West Country Motorhomes Ltd reserves the right to vary rates and conditions of hire and to refuse to hire to any person without giving a reason.
